Terms and Conditions

These Terms and Conditions govern the enrolment and participation of children in Boulder School Ltd, operating at a host venue. Enrolment constitutes full acceptance of these Terms and Conditions.

1. Enrolment and Payment
Confirmation of Enrolment
A child’s place is secured only once the initial enrolment payment has been received via the designated payment link.
Fees
Standard membership fee: £50.00 per month, inclusive of climbing shoe hire.
Two weekly sessions: £90.00 per month (10% discount applied).
Sibling discount: 5% per child for families enrolling two or more children, reducing the fee to £47.50 per child per month.
Discounts cannot be combined.
Payment Method
A Direct Debit mandate must be in place before the child’s first session.
The initial one-off enrolment payment must be completed prior to attendance.
Failure to maintain an active payment arrangement may result in suspension or termination of attendance without refund.

2. Participation Requirements
Children may not attend until all required documentation is completed and approved.
Waivers
A completed Boulder School waiver and climbing centre waiver are mandatory for every child.
Supervision Declaration
A supervision form is required if:
A child requires 1:1 support, or
A child attends the climbing centre outside of scheduled Boulder School sessions.
All supervision arrangements are subject to approval and sign-off by an instructor.
Special Educational Needs (SEN)
Parents or guardians must disclose any Special Educational Needs before the first session.
Failure to disclose relevant information may result in refusal of participation or removal from sessions.

3. Programme Structure
Eligibility
Boulder School sessions are open to children aged 7 years and over.
Admission is subject to suitability and staff discretion.
Session Allocation
Membership is based on 48 scheduled sessions per year, each lasting 55 minutes.
Sessions do not run during:
The week preceding Fenbloc
The Christmas period
One week during the summer holidays
One additional week to be confirmed
These closures account for venue events and operational requirements and do not entitle members to fee reductions.
Arrival and Departure
Sessions run to a fixed timetable. Late arrivals or early departures cannot be accommodated beyond the scheduled session time, and any missed time cannot be made up. Instructor availability is strictly limited to the booked session window, and supervision cannot be extended before or after sessions.

4. Supervision and Safety
Parent or Guardian On-Site Requirement
A parent or legal guardian must remain on site, within the café area at the climbing centre, for the full duration of each Boulder School session.
Additional Supervision
Instructors reserve the right to require direct parental or guardian supervision during a session if a child requires additional support or presents a safety concern.
Failure to provide requested supervision may result in removal from the session.
Parental Availability for Children
Where a child has Special Educational Needs or requires additional support, a parent or legal guardian must remain immediately available for the full duration of the session and must not take responsibility for supervising other children or individuals during that time. This requirement ensures that appropriate support can be provided if needed and that staff are able to maintain a safe environment for all participants.
Neither the host venue nor Boulder School can assume responsibility for siblings or other dependants during Boulder School sessions. Boulder School sessions are delivered on a group supervision model, and instructors are not able to provide individual or 1:1 support. Additional support cannot be provided in advance or during sessions, as this would require additional staffing beyond that available. Failure to meet this requirement may result in the child being unable to participate in the session, without refund.

5. Behaviour and Conduct
Children are expected to follow instructions and behave in a manner that ensures the safety of themselves, other participants, and staff.
Boulder School reserves the right to remove a child from a session, suspend attendance, or terminate enrolment if behaviour is unsafe, disruptive, or repeatedly non-compliant. No refunds or credits will be issued in such circumstances.

6. Clothing and Footwear
All pupils must wear suitable sports clothing and socks for use with climbing shoes. Clothing must allow safe movement and must not present a risk to the participant or others.
Boulder School reserves the right to refuse participation to any pupil whose clothing or footwear is deemed unsafe for climbing. No refunds or credits will be issued in such circumstances.

7. Missed Sessions and Refunds
Sessions are non-transferable and non-refundable.
No refunds, credits, or replacement sessions will be provided for absences due to illness, holidays, school commitments, weather, or any other personal circumstance.

8. Instructor Availability
Boulder School reserves the right to substitute instructors where necessary. All instructors are appropriately qualified. Instructor changes do not constitute grounds for refund, cancellation, or compensation.

9. Photography and Media
Boulder School and may capture photographs or video during sessions for marketing, promotional, training, or internal purposes. By enrolling, parents or guardians consent to such use unless written opt-out is provided in advance.

10. Risk and Liability
Climbing is an inherently physical activity and carries a risk of injury. Participation is subject to the terms of the Boulder School and host venue waivers, which limit liability to the fullest extent permitted by law.

11. Safeguarding
Boulder School is committed to safeguarding and promoting the welfare of children.
All instructors and relevant staff are DBS-checked and hold appropriate safeguarding training.
Instructors are trained to provide a safe, inclusive learning environment.
Physical contact is limited to what is necessary for instruction, safety, or assistance and is carried out in a professional manner at all times.
Safeguarding concerns will be managed in accordance with Boulder School and the climbing centre safeguarding policies and, where required, reported to the appropriate authorities.
Parents or guardians must inform Boulder School promptly of any safeguarding, medical, or welfare concerns that may affect a child’s participation.

12. Changes or Suspension
Boulder School reserves the right to amend session times, program structure, staffing, or suspend sessions due to operational requirements, safety concerns, or circumstances beyond reasonable control. Where possible, reasonable notice will be provided.

13. Cancellation of Enrolment
Notice of Withdrawal
To withdraw a child from Boulder School, written notice must be sent to: support@boulderschool.co.uk
Notice Period
Notice must be received at least 14 days before the start of the next billing month.
Notices received after this period will result in the following month being charged in full.
This notice period allows spaces to be offered to children on the waiting list.

14. Use of the Centre Outside Class Times
Children wishing to climb at the host venue outside of scheduled Boulder School sessions may:
Purchase a day pass at reception, or
Enrol in a Boulder School child membership with the host venue for £27.50 per month, instead of the current child reoccurring membership priced at £45.00 per month.
Standard host venue supervision rules apply at all times outside of Boulder School sessions.

15. Governing Law
These Terms and Conditions are governed by and interpreted in accordance with the laws of England and Wales.
